Our client who are based in the financial sector are seeking to recruit for an additional role, an Office Administrator / Secretary. In addition to the description below, the most important thing about the person in this role is that they are enthusiastic and are flexible and adaptable in their approach to their workload. Office Administration You will ensure that the UK office runs efficiently. Your responsibilities will include, but not be limited to, ensuring sundry office supplies are available within the office; being the principal point of contact for all office suppliers; providing routine office support activities including scanning, shredding, post services and general office administration; making travel and hotel bookings. Typing and secretarial Secretarial support to staff in both Guernsey & the UK prepare correspondence, board minutes and other financial and statutory information. You will promptly and accurately type, collate and prepare this information for staff from both offices either from written draft documents, digital dictation files or other electronic media. You will assist members of staff in the preparation, collation and binding of packs of documents sent to directors prior to a board meeting, and the preparation of reports and accounts for our clients. You will also provide secretarial support to staff dealing with general correspondence, booking travel arrangements for all staff and providing PA assistance when required. Reception You will act as a first point of contact for visitors to our UK office, ensuring that they are properly greeted, ensuring that guests are offered drinks, etc. You will also be responsible for ensuring that all ?public areas? of our UK office remain tidy and presentable. You will answer the main phone system in a professional manner at all time in line with the standards laid down by management. You will also deal with calls to staff when they are unavailable, ensuring that these are answered and messages taken. Other work You will ensure that all sundry office supplies are available within the office in the UK at all times. You will be the principal point of contact for all suppliers working with the Whiteley office and will be responsible for the routine office support activities, liaising with suppliers where necessary. You will assist in the maintenance, production and control of many procedures and forms for the director responsible for human resources and IT administration. You will assist the office with other work as and when required, which will include bookkeeping (full training provided), data entry and production and distribution of routine reports amongst other tasks. Core Skills and knowledge You will be a fast and accurate copy and audio typist with a minimum typing speed of at least 60 words per minute. You will maintain a professional approach to all aspects of work. You will be a team player and also be able to take the initiative in difficult situations. You will have an enthusiastic approach to all activities undertaken. You will have an ability to work within tight deadlines You will have good interpersonal skills allowing you to work closely with colleagues and others. You will maintain a smart appearance at all times. You will be prepared to travel to Guernsey c 3 times per year by arrangement. This role is commutable from Fareham, Gosport, Hedgend, Southampton, Portsmouth, Waterlooville, Hamble, Eastleigh and Winchester.
